Information we use
When you enquire or buy, relevant details may include your name, email address, telephone number, billing and delivery address, organisation if applicable, product requirements, order details, payment status, correspondence and return or warranty information.
Information comes from you and, where needed to manage an order, from our shop, payment and delivery providers. Hosting and security services may also process your IP address, browser information and technical request logs. See our Cookie Notice for information about cookies.
Please do not send payment-card details by email or through the quote builder. Payment information is handled through the checkout and its payment providers.
How and why we use it
Enquiries and purchases: we use the details needed to prepare a requested quotation, fulfil your purchase, arrange delivery and handle cancellations, returns or support. The legal basis is taking steps at your request before a contract or performing our contract with you.
Business contacts and service administration: where a contact acts for an organisation, we rely on our legitimate interests in answering enquiries and managing the business relationship. We also have legitimate interests in securing our services, preventing fraud and resolving complaints or disputes, balanced against your rights.
Legal records: we keep and disclose relevant information where required for tax, accounting or other legal obligations.
Marketing preferences: if you choose to receive promotional communications, we use your contact details and preferences only where permitted by law. You can object to direct marketing at any time, or withdraw consent where we rely on it, by contacting hello@nivylo.com. Withdrawing consent does not affect earlier lawful processing.
Retention and security
We decide how long to retain information according to its purpose: whether an enquiry is still active; whether an order, return, warranty or complaint needs support; and the applicable accounting, tax or legal requirements. We retain only what is needed for those purposes. Contact us for information about retention of your particular records.
We use appropriate access controls and service-provider security measures to protect information. No internet service can guarantee absolute security.
International processing
Some service providers may process information outside the UK. Where a restricted international transfer is involved, applicable UK data-protection safeguards are required, such as an adequacy arrangement or approved contractual safeguards. Contact hello@nivylo.com for details about transfers and safeguards relevant to your information.
Your choices and rights
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You can object to processing based on legitimate interests. Your right to object to direct marketing is unconditional.
Send requests to hello@nivylo.com. We may need information to confirm your identity. We normally respond within one month; if a lawful extension is needed, we will explain it. Some rights have exceptions, including where we must retain records by law.
You can complain directly to the Information Commissioner’s Office. You are welcome to contact us first so we can address the issue, but you do not have to do so before contacting the ICO.
The quote builder
The quote builder prepares a message in your email application or lets you copy the request. It does not send your enquiry to us automatically or save the form details to our website server. Once you send the email, we handle it as customer correspondence. Your email application and provider have their own privacy terms.
Updates to this notice
We review this notice when our services or use of information changes. The date above shows the latest revision. Where required, we will tell you about material changes before using your information for a new purpose.
